Ward: admitting, treatment and discharge

How the inpatient ward works, from slot configuration to admitting patients, running treatment plans, and discharging.

Setting up ward slots

Before admitting any patient, define ward slots, the physical cages or kennels in your clinic. Go to Clinic Settings -> Ward and enter the number of slots you have.

💡The Ward menu item is disabled until you configure at least 1 slot.

You can also assign a slot type to each slot, such as Cat, Small dog, Medium dog, Large dog, Huge dog, or Infections. The type is shown on the slot card and in the admit modal as a color-coded label. It is for visual organization only and does not restrict which patients can be admitted.

Admitting a patient

Go to Ward. You'll see a grid of all slots. Free slots are shown in green.

Click a free slot to open the admit modal. Search for the patient by name.

Fill in the reason for stay, start date, expected discharge date, and price per night if needed. Add treatment plan items if needed.

Click "Admit". The slot card updates to show the patient name, care status, and discharge countdown.

💡You can also admit from the dashboard quick action "Admit patient". It opens the ward modal on the first free slot.

Treatment plan and daily care

When admitting, you can add a treatment plan: a list of care tasks with a time of day and frequency, for example IV fluids in the morning and evening. These appear as chips on the slot card.

Click a care chip on the slot card to log a quick event for that treatment today. To log vitals such as temperature, heart rate, or notes, open the full stay detail by clicking the patient name on the slot card.

⚠️Treatment plans are per stay, not per patient. When a patient is discharged and later readmitted, you set up a new treatment plan.

The inpatient detail page

Click a patient's name on the slot card to open the full inpatient view. There you can:

  • See today's due treatments and mark them given or skipped.
  • Log vitals such as temperature, heart rate, and clinical notes.
  • View the ward charge estimate.
  • Discharge the patient.

Discharging a patient

Open the inpatient detail page for the patient.

Scroll to the "Discharge patient" card and click "Discharge".

Add discharge notes if needed and confirm. The slot is freed immediately.

After discharge, the stay record is saved and visible in the patient's Ward history tab. The ward charge is also visible there.

💡The dashboard discharge watchlist shows patients whose expected discharge date is today or overdue. Use it to prioritize which stays to close.

Ward payment

The ward charge, price per night multiplied by expected days, is shown on the inpatient detail page as an estimate. Actual payment tracking happens on the owner's profile.

Go to the owner's profile and open the Balance tab to mark the ward charge as paid.
