Staff and invitations

How to invite colleagues, understand role differences, manage access, and assign staff to multiple clinics.

Role overview

There are two roles within a clinic:

  • Admin: Full access. Can manage settings, staff, ward, patients, appointments, and billing. The user who created the clinic starts as Admin.
  • Vet: Clinical access only. Can work with patients, ward, appointments, and owners, but cannot access clinic settings, staff management, or billing.

Inviting a colleague

⚠️The person must already have a registered Kozelot Vet account. If they don't have one yet, ask them to register first.

Go to Settings -> Staff. This is available to admins only.

Enter their registered email address in the invite field and click "Send invite".

They appear in the staff list with the Vet role after accepting the invite.

💡Invites can be canceled and resent from the pending invites section.

Changing a staff member's role

From the Staff page, find the staff member and use the role selector to switch between Admin and Vet. Changes take effect immediately.

Removing a staff member

Remove access from the staff page. This removes them from the current clinic only. Their account stays active and they can still access other clinics they belong to.

Assigning staff to multiple clinics

If you run multiple clinics, you can add the same staff member to more than one clinic. Each clinic keeps its own staff list and role assignment.

From the Staff page, use the add-to-another-clinic action next to a staff member to assign them to another clinic you manage.
